  • Offering faster and more efficient services to citizens

Dinova supported the City of Bergamo in adopting Google Workspace, implementing:

  • Instant communication tools like Google Meet and Gmail
  • Secure and easy access to documents with Google Drive, Docs, and Sheets
  • Flexible productivity management through Calendar and Meet
  • Seamless migration of over 1,000 users to new digital systems

3 The challenge

“To provide citizens with excellent services, it is first necessary to create ideal working conditions for people who work in the public sector.”

This is affirmed by Giacomo Angeloni, Councillor for Innovation of the Municipality of Bergamo. Not just a thought, but a goal that led the Municipality to embark on a digital transformation journey together with Dinova and Google Cloud.

The challenge was to provide even simpler and more continuous support to people, especially during the pandemic. A result made possible only through secure and flexible work tools, capable of simplifying collaboration and increasing productivity while reducing IT management and infrastructure costs.

The communication channels used up to that point, such as the IBM Lotus Notes platform and phone calls, were no longer able to support people in their daily activities. In particular, the need for tools capable of managing remote work led the Municipality to adopt Google Workspace.

To achieve its goals, the City of Bergamo embarked on a digital innovation journey with Dinova and Google Cloud, adopting Google Workspace. What made the difference was the approach of both organizations to innovation, combining the most advanced business solutions with a focus on people and their everyday needs. A winning combination that has been successfully adopted by many Italian organizations.

For the City of Bergamo, the cloud collaboration offered by Workspace has indeed become the key to continuing to work effectively regardless of external circumstances — starting with the ability to stay in touch with colleagues every day, from any location or device, thanks to Google Meet.

The City later created multiple Google Workspace accounts for its departments and then decided to migrate the entire workforce a year later. For Angeloni, it was a strategic project—both delicate and important—which made him even more impressed by the simplicity with which the migration took place.

Today Google Workspace has replaced the previous tools:

  • Gmail for everyday communication
  • Google DriveDocs, and Sheets for collaborating on shared documents
  • Google Calendar to organize appointments and activities
  • Google Meet for virtual meetings

 

The adoption of the platform was intuitive and fast, also thanks to the familiarity many employees already had with Google tools. In fact, the ease of use and adoption was among the main advantages identified by the City. Training sessions had been organized for the staff to help them get used to the new tools, but many were already familiar with the platform. “The advantage of using a widespread tool like Gmail is that many people already know and trust the platform. Moreover, we discovered that many employees were already using Google Drive. Therefore, we can say that the migration responded to a real need,” says Angeloni.

Thanks to Dinova and Google Workspace, the City of Bergamo has improved internal collaboration and made work management more efficient, with positive effects on the services offered to citizens. 

Now, people in the City are able to access all the documents they need both in the office and remotely, without having to worry about the security of their data. With Google Workspace, it is also possible to easily manage access policies to regulate information visibility.

Moreover, collaborating in the cloud makes it possible to easily share materials both within the City and with external organizations and suppliers, as well as to edit the same document simultaneously with multiple people. The entire workflow is clean and streamlined. Finally, being finally freed from the limitations of the infrastructure has allowed the City to take off and relieve IT managers from server maintenance tasks.

The migration was only the first step. Upcoming goals include the expansion of the public WiFi network, 5G connectivity, and many new growth and development projects.
